Erasmus+ study mobility in EU

Erasmus+ is a mobility programme of the European Union funded by the European Commission. It is aimed at modernizing and improving the quality of higher education in Europe and in the world. It gives university students the opportunity to improve their skills and expand their employment opportunities after graduation. Erasmus+ is one of the most famous and successful mobility programs.

Basic facts

  • Each student of the University of Economics in Bratislava (hereinafter referred to as EUBA), both full-time and part-time, can undertake an Erasmus+ study mobility exchange. The condition is to have successfully completed the 1st year of bachelor's studies.
  • The minimum duration of the study mobility is 3 months, maximum duration is 12 months. It is possible to take part on the Erasmus+ study mobility repeatedly. According to the rules of the Erasmus+ program, a student at each level of study (Bc., Ing., PhD) has 12 so-called Erasmus months. These months can be used for any combination of the study mobility, practical student traineeship or graduate traineeship.
  • Study mobility through the Erasmus+ programme can be completed at partner universities in following countries: Austria, Belgium, Bulgaria, Croatia, Cyprus, Czech Republic, Denmark, Estonia, Finland, France, Germany, Great Britain, Greece, Hungary, Ireland, Iceland, Italy, Lithuania, Latvia, Macedonia, Malta, Netherlands, Norway, Poland, Portugal, Romania , Slovenia, Serbia, Spain, Sweden and Turkey.
  • Student chooses the foreign institution according to the study focus at the home faculty. Every foreign university should have a published course offer for Erasmus students available on its website. The subjects that the student chooses from the offer of the foreign university must be compatible with the subjects that he/she would study at the domestic faculty at that time. It is also important to find out the language instruction of the courses at the partner university in order to avoid complications in the future.
  • Each student of the 1st and 2nd cycle of study has to complete at least 5 courses or 30 ECTS credits, which is a condition for obtaining the allocated financial grant. Completing 5 subjects or 30 ECTS is exclusively linked to a financial grant, not to the recognition of subjects at the faculties. If student does not fulfill one of these two conditions, the obligation is to return the aliquot part of the grant.

When and how to apply for Erasmus+ study mobility?

  1. The first part of the selections process takes place at the home faculty/in the framework of the entire university program (the call for applications at the faculty/program level is published on the website of each faculty/program - in the section announcements for students during January). When the selection process is completed at the faculty/program level, Vice-Deans for International Relations/guarantors of the programs are obliged to ensure the publication of the results of the selection procedure and forward the lists of nominated students to the International Mobility Department (hereinafter referred to as  IMD). In order to be included in the faculty selections process, student needs to apply at the Study Abroad website https://studyabroad.sk/en, where student needs to fill out an application form for a study mobility, specify universities according to preferences and attach required documents. When the application form is completed, student needs to download it, print it out, sign and send by an e-mail to the Vice-Dean or to the Foreign relations officer at the home faculty (more specific information can be found on the faculty website, in the international relations section). Other documents are sufficient in an online format, uploaded in the Study Abroad application.
  2. The second part of the selection process is completed at the IMD. After receiving the nominations from the faculties/programs, students are allocated to partner universities by the IMD according to their position on the nomination list. After the allocation, the list of students is electronically delivered to the members of the university-wide committee for approval. Afterwards, the results of the allocation of nominated students for Erasmus+ study mobility is published on the university website. The selection procedure itself takes place until the end of February of each calendar year.

Documents required before and after the mobility

Documents required in order to be included in the selection procedure

In order to be included in the faculty selection process, student needs to apply in the Study Abroad application https://studyabroad.sk/en, specify universities according to preferences and attach following required documents:

  • photo,
  • CV in English, CV in the language of instruction of the hosting university (if required by the faculty),
  • Motivation letter in English, Motivation letter in the language of instruction of the hosting university (if required by the faculty),
  • (DOC) preliminary list of courses, to be studied at 3 selected universities (in case of any questions, please contact Vice-Dean for International Relations)
  • the proof of language proficiency – certificates,
  • other activities.

If the faculty sets also other requirements and criteria, it is important that these are met as well. Faculty will organize the selection procedure from among the registered students.

Documents required from nominated students before the departure for study mobility

Before leaving for the study mobility, student is required to fill out and upload to online application www.studyabroad.sk following documents:

  • Learning Agreement - in this document, student needs to specify courses that he/she is going to study at the foreign university. Learning Agreement needs to be filled out at www.learning-agreement.eu. When filled and signed, student needs to download the pdf version of Learning Agreement and upload it to www.studyabroad.sk. Each student of the 1st or 2nd cycle of study has to complete at least 5 courses or 30 ECTS credits, which is a condition for obtaining the allocated financial grant. Completing 5 courses or 30 ECTS is exclusively linked to a financial grant, not to the recognition of courses at the faculties.
  • Bank details - student is required to fill out name of the bank and bank account number to the system. Each student who is travelling abroad needs to have own bank account, created on his/her name, to which the grant can be sent.
  • Travel insurance (name of the commercial insurance company and insurance contract number)
  • Acceptance letter confirmed by the receiving institution
  • Release from studies - after receiving an acceptance letter from a foreign university, student contacts IMD  with a request to issue a confirmation of study stay abroad (e-mail form). On the basis of an acceptance letter, IMD will electronically confirm the planned study stay abroad for the relevant period to the relevant faculty. If the faculty specified also other conditions, student needs to meet them as well. Subsequently, the faculty issues the student a release from studies. This confirmation must be uploaded to the www.studyabroad.sk application.
  • Copy of the travel insurance contract – student is required to arrange a complex travel insurance covering medical expenses and accident insurance for the entire duration of the study stay (it must be continuous without the condition of return after 30, 45 or 90 days). We recommend arranging for example an ERAPO travel insurance - specialized insurance for Erasmus+ mobilities. You have a choice of 2 insurance packages:
    • „ERAPO standard“ – also includes the recommended liability insurance for damage caused by participants in the school and legal protection insurance.
    • „ERAPO premium“ – additionally includes luggage insurance and technical assistance in the event of a rescue operation in the mountains.
More info can be found at www.erapo.sk

Note: it is necessary to upload to your application the actual valid insurance contract (not the Draft of an insurance contract) that has already been duly paid. Along with the contract, it is necessary to upload the scope of coverage (it is included in the contract, table, etc.). In case of an ERAPO insurance, it is an Erapo certificate. If you arrange an insurance remotely (online in case of an ERAPO insurance) and you are issued with a draft insurance policy, you need to upload a confirmation of payment for the insurance contract (compress both documents into zip format and then upload them to the system).

  • Valid copy of the European Health Insurance Card
  • Green travelling - Declaration on word of honour + travel documents - green travelling is an ecological form of travel. If the student does not travel to the Erasmus+ study stay by plane, student can use the so-called green travelling. Such form of travel include travelling by: train, bus, boat, shared car, so-called car-pooling (min. 2 students, not family members). In this new project, a student can apply for a green travel allowance and thus receive a one-time allowance (top-up) in the amount of 50 EUR in addition to the individual support. In case of this type of travelling, the student is entitled to reimbursement for extra travel days (max. 2 days BEFORE the mobility and max. 2 days AFTER the mobility). These days will be included in the individual support with the grant.

In addition, the student is required to complete the Online Language Test (the student will receive an e-mail invitation to take the online language test through the OLS portal).

Contract on the provision of a financial contribution - the contract is signed between the University of Economics in Bratislava and the student; any changes or amendments to the contract are possible only in writing, in the form of an amendment to the contract agreed by both parties.

No student may travel on a study mobility without a valid signed contract!!!

We recommend to come signing the contract approximately 2-3 weeks before leaving for mobility.

Student will receive the grant on the bank account at least 1 week before commencing the study mobility. However, only under the condition that all requiremenst are met, including signed contract.

Each student receives 80% of the overall grant amount before commencing the study mobility and remaining 20% after the return, when all requirements are met.

Extension of the Erasmus+ study mobility

By default, each student is nominated for only 1 semester, while nominated students also receive a grant for 1 semester.

It is however possible to extend the study mobility also for another semester, but this is only possible when extending the mobility from winter to summer semester, since it has to be in one academic year. Extension from summer also for a winter semester is not possible.  In case of an extension, student needs to re-apply to the selection process again and has to be re-nominated by the faculty. Both, sending and receiving faculty have to agree with the extension and grant for another semester is provided only in case the IMD has available finances. It is a standard that student covers another semester from own resources. In case of an extension, student also needs to consult the faculty again regarding the release from study and for the Learning Agreement approval. Also travel insurance has to be arranged for the whole period of study mobility. Request for the extension has to be delivered to IMD in advance.

Documents required after the return from the study mobility

No later than 10 days after returning from the study mobility (unless otherwise agreed with the IMD coordinator), each student must upload to the application www.studyabroad.sk following documents:

  • Letter of Confirmation (confirmed by hosting university),
  • Transcript of Records (issued by hosting university),
  • Proof of Recognition (confirmed by sending university),
  • Questionnaire after completion of the mobility,
  • Two photos from the study mobility.
  • Green travelling – student who used the green travelling needs to upload Declaration on word of honour and tickets or a gas bill as well as proof of payment for the purpose of documenting the travel to the study mobility.

Student report - student has to fill out the report via the EU Survey online portal. Each student will automatically receive an e-mail after the end of the mobility with an invitation to fill out the given report.

Complete final online language test through the OLS portal (Online Linguistic Support).

After submitting documents, completing the language test and EU Survey, student should contact and inform about this IMD Coordinator for outgoing students. Afterwards, the documents will be checked and if all conditions are met, the student will receive the remaining 20% of the total amount of the grant contribution.

If student doesn‘t meet requirements, return from the mobility earlier, do not pass courses, etc., grant contribution will be reduced and student will need to return aliquot part of the grant.

What is the amount of grant contribution for a study mobility?

The grant allowance amount is set by the European Commission and it depends on the host country of your study mobility. The amounts are as following:

  • 1st group – 520€/per month
    Countries with high living costs:
Denmark, Finland, Iceland, Ireland, Luxembourg, Liechtenstein, Norway, Sweden, United Kingdom
  • 2nd group – 520€/per month
    Countries with average living costs:
Austria, Belgium, Cyprus, France, Germany, Greece, Italy, Malta, Netherlands, Portugal, Spain

Erasmus+ practical traineeship

Each student of the University of Economics in Bratislava can undertake an Erasmus+ mobility - practical traineeship in abroad repeatedly during university studies. The total length of all Erasmus mobilities on one cycle (study mobility, practical traineeship, graduate traineeship) cannot exceed 12 months.

  • Practical traineeship through the Erasmus+ programme can be completed in following countries: Austria, Belgium, Bulgaria, Croatia, Cyprus, Czech Republic, Denmark, Estonia, Finland, France, Germany, Great Britain, Greece, Hungary, Ireland, Iceland, Italy, Lithuania, Latvia, Liechtenstein, Luxembourg, Macedonia, Malta, Netherlands, Norway, Poland, Portugal, Romania , Slovenia, Serbia, Spain, Sweden, and Turkey.
  • The minimum duration is 2 months, maximum duration is 12 months. Total length depends on the fact if you already undertook an Erasmus+ mobility on the particular cycle of study.
  • The faculty will publish a call for applications along with the conditions how to be included in the selection process usually after the beginning of an academic year. Students must complete the traineeship in the same academic year (including holiday period) in which they applied for the traineeship. Each faculty organizes the selection process separately. The faculty coordinator delivers the list of nominated students and the list of alternate students to the IMD in the form of a nomination letter along with a printed and signed traineeship application for each nominated student. After checking the completeness of the documentation, the IMD coordinator establishes electronic communication with the student in order to forward the necessary organizational instructions related to the preparation and implementation of the practical internship.
  • The student searches for a suitable company and traineeship position independently. In doing so, the list of traineeship possibilities might be of use (available to students nominated for mobility on the request by the IMD coordinator). If necessary, student can request a personal consultation with the coordinator from IMD. Hosting organisation should be arranged at least one month before the beginning of a traineeship, so there is enough time to prepare contract documentation and other organizational requirements.
  • Following types of organizations are not eligible as receiving organizations for students undertaking Erasmus+ practical traineeship: EU institutions and other EU bodies, including specialized agencies (full list is available at http://europa.eu/european-union/about-eu/institutions-bodies_sk); organisations implementing the EU programmes, such as National Erasmus+ programme agencies (with the aim to avoid possible conflict of interest and/or double financing).
  • After receiving an acceptance from the company, student needs to fill out an Acceptance letter with cooperation of the hosting institution (available to be found in section „Dokumenty a formuláre“ at https://euba.sk/medzinarodne-vztahy/odchadzajuci-studenti/erasmus-prakticke-staze). Student should afterwards upload the Acceptance letter to https://studyabroad.sk/en.
  • In cooperation with the company, student is required to prepare Learning Agreement for Traineeships(LA-T). In this contract, it is necessary to specify an exact period of the traineeship, program and activities student is about to carry out during the traineeship, working hours, as well as other relevant information. After the LA-T is complete and signed by all parties, student needs to upload it to application https://studyabroad.sk/en (section Agreement (upload)). Based on the LA-T and personal bank account information (student must be a holder of the bank account), coordinator at the IMD will prepare the Contract on the provision of a financial contribution.
  • Student is required to arrange a complex travel insurance covering medical expenses and accident insurance for the entire duration of the study mobility (it must be continuous without the condition of return after 30 or 45 days). It is necessary to upload to your application at https://studyabroad.sk/en the actual valid insurance contract as well as proof that it has already been duly paid. Along with the contract, it is necessary to upload also the scope of coverage (it is included in the contract, table, etc.). Students can arrange for example an ERAPO travel insurance - specialized insurance for Erasmus+ mobilities. You have a choice of 2 insurance packages, ERAPO standard or ERAPO premium. More info can be found at erapo.sk. It is also necessary to upload valid copy of the European Health Insurance Card.
  • In case student completes the entire traineeship or its part during the teaching period (or "during the semester"), student also uploads the Release from studies to the https://studyabroad.sk/en application - issued by study department of the particular faculty. Study matters regarding the recognition of subjects must be consulted with the vice-dean for international relations at your faculty.
  • If the student does not travel to the Erasmus+ study mobility by plane, student can use the so-called green travelling. The grant is provided based on the declaration on oath and travel tickets that have to be uploaded to https://studyabroad.sk/en.
  • Passing the OLS assessment before mobility is a basic requirement for the mobility. Those participants who have reached level B2 or higher in the evaluation of the main language of communication have the opportunity to participate in an OLS language course of that language or the language of the given country, if it is available within the OLS.
  • The amount of financial contribution depends on the country where the mobility is going to take place, as well as on the length of a traineeship. The exact amount is determined by the Contract on the provision of a financial contribution prepared by the Univresity of Economics in Bratislava and signed by the student. If the hosting institution also provides certain financial contribution or any other benefit, it is an advantage for you and it does not affect the Erasmus+ financial contribution.

The Contract on the provision of a financial contribution is signed between the University of Economics in Bratislava and the student; any changes or amendments to the contract are possible only in writing, in the form of an amendment to the contract agreed by both parties.

No student may travel on a study mobility without a valid signed contract!!!

Each student receives 80% of the overall grant amount before commencing the mobility and remaining 20% after the return, when all requirements are met.

It is mandatory to come signing the contract 10 days at minimum before leaving for the mobility.

No later than 15 days after finishing the traineeship (unless otherwise agreed with the Coordinator from IMD), each student must deliver following documents:

  • two original copies of the Europass Mobility document, filled, signed and stamped by the company where the traineeship took place. Also, student is required to upload the scan of this document to application https://studyabroad.sk/en,
  • two original copies of Traineeship Certificate document, filled, signed and stamped by the company where the traineeship took place. Also, student is required to upload the scan of this document to application https://studyabroad.sk/en
  • survey after completing the mobility (student needs to fill it out in the application https://studyabroad.sk/en
  • two photos from the study mobility, uploaded to application https://studyabroad.sk/en
  • tickets / confirmation on accommodation – confirmation on departure to hosting country in the beginning of a mobility and arrival back to Slovakia after completion of the mobility, or Contract on provision of accommodation (uploaded to application https://studyabroad.sk/en. Students who undertake the mobility in Czech republic, Poland, Austria or Hungary must provide both, return ticket as well as Contract on provision of accommodation. Ticket and confirmation on accommodation have to be uploaded to application https://studyabroad.sk/en.
  • confirmation on the submission of a Traineeship Report - EU SURVEY. Student fills out the traineeship report online. Its goal is to provide new impulses for the international exchange of students and teachers and thus reduce asymmetric development in this region. Program enables development of cooperation between Slovak and foreign universities by creating academic networks, within which scientific and research cooperation takes place and the mobility of students, doctoral students and university teachers is realized. It is financed from the state budget on the basis of agreements of the ministries of education of the countries participating in the program.

Following countries are currently activitely participating in the program: Albania, Austria, Bosnia and Herzegovina, Bulgaria, Czech republic, Croatia, Hungary, Kosovo, Macedonia, Moldova, Montenegro, Poland, Romania, Serbia, Slovakia and Slovenia.

SAIA, n. o. is the National agency of the CEEPUS program in Slovakia. The agency regularly inform about current rules of implementation of the program (networks of cooperating universities, grant contributions, application deadlines...) on its website www.saia.sk.

The University of Economics in Bratislava is involved in three networks of the CEEPUS program: AMADEUS, REDENE and EDUCATION WITHOUT FRONTIERS (only the Faculty of Commerce and the Faculty of Applied Languages are involved in this particular network).

The selection process for those interested in a study and lecture mobility usually takes place in the spring months, always valid for the following academic year. The IMD will publish beforehand the list of foreign universities where mobility can be implemented, as well as a number of students and teachers that the EUBA can send for mobility. The basic selection is carried out by faculties.

Final selection is done the IMD. Report from the selection procedure will then be published on the university's website. All candidates are informed about the result of the selection procedure in writing (by an e-mail). Successful candidates are informed by the coordinator from IMD about the method of preparation of documentation necessary for the successful implementation of mobility. The documentation is binding. An alternate can apply for the so-called freemover mobility (outside approved networks).
